ERASMUS+ Application Procedure
ERASMUS+ application procedure at the IKW
Application documents
For an application in the academic year 2025/26 an online application is required.
- fill out, send, generate pdf file
Procedure, documents and deadlines
The application deadline for ALL stays abroad in the academic year 2025/26 is February 06, 2025.
In addition, the IKW Mobility Office needs your application, but will NOT automatically receive your Moveon online application!
Send your application as ONE (!!!) PDF file by e-mail and only by e-mail to ikw-eras@uni-osnabrueck.de before or on February 06 with the subject/heading "Erasmus Application" followed by your first name and last name. The PDF file MUST contain:
- your Moveon online application (you can generate a pdf there)
- your letter(s) of motivation
- the cover page (PDF, 96 kB)
It is not necessary to submit the application documents in paper form to the IKW Mobility Office!
If you are applying not only for Erasmus but also for university partnerships, please note that the International Office, which is responsible for processing the latter applications, may require different documents and/or procedures. Find out what you need to do.
Letter of motivation
- explain your academic and private reasons
- give careful reasons
- is the decisive criterion for the selection committee
- Pay attention to spelling mistakes!
- You can find tips on writing here (DOCX, 14.07 kB)
Selection criteria
In the week following the submission deadline, the subject coordinators, the ERASMUS coordinator and a member of the student representatives will jointly determine the nomination.
If there are more applicants for a partner university than there are places available, only the letter of motivation will decide who is nominated. You will be informed promptly, usually in the same week, by e-mail as to which place you have been nominated for.
The ERASMUS coordinators make every effort to fulfill one of the maximum of four wishes for each serious application. However, due to the large number of applications and the limited number of places, this will not always be possible.
In this case, you will be notified by e-mail that your application has been unsuccessful, informed at which universities places are still available and asked to submit a corresponding application if necessary.
Acceptance/return of the study place
IMPORTANT: Please inform us immediately by email if you do not accept the place you have been offered (e.g. because your application for a partner university was successful or you have opted for an internship).
If you continue to occupy a place that you are not going to take up, you will deprive your fellow students of the opportunity to move up to this place and thus prevent them from being able to organize their semester abroad as they wish.
Experience reports
In order to get an impression of a possible partner university, you can view various experience reports at the ERASMUS office or request them by email. These reports often contain information on courses, accommodation, travel, etc., which is very helpful for preparation.
After their return, participants in the ERASMUS program must write a report on their stay abroad. Please also send a version in the form of a pdf file to the ERASMUS office at the IKW.
