Application
Depending on whether a university partnership or a departmental partnership (incl. Erasmus+) has been established with the desired host universities or whether it is a free mover stay, there are different requirements for the application documents, different submission points, and possibly also different application deadlines.
In total, you can apply for a maximum of three exchange places and submit the application documents for the different host universities to the responsible offices (International Office / schools). However, the online application must only be submitted once. Several requests can be prioritized in this application. The printout of the online application must be attached to all individual applications.
Application: exchange place university partnerships
An online application is required for the academic year 2025/26. In addition, the paper printout of the online application and the written application documents ("Application documents to be submitted") must be submitted to the International Office.
Application deadline
Applications must be submitted at the beginning of each year for the coming academic year.
The application deadline for stays abroad in the academic year 2025/26 is February 6, 2025.
There is no different application deadline for stays abroad in the winter or summer semester. The above application deadline therefore refers to both the winter semester 2025/26 and the summer semester 2026!
Application documents to be submitted
Please organize your application documents (per partner university) as follows:
- Paper printout of the Online application (signed)
- CV in tabular form (English or respective language of host country)
- Letter of motivation (approx. 1-2 pages): statement of professional and personal motives for the planned study project (English or respective language of host country)
- Recent Letter of Recommendation (PDF, 250 kB) from a university lecturer (English)
- Transcript of Records in the form of an Exa printout signed by the responsible examination office (English). Please note that the examination offices require a lead time of up to two weeks to check and sign the transcript of records.
Alternatively, you can submit a manually completed Transcript of Records (PDF, 248 kB) of the courses you have attended so far (English or the respective language of host country) signed and stamped by the responsible examination office. Please list all courses attended to date, starting with the first semester. If no grade was awarded for a course, "passed", "successful participation – no grade" or similar must be indicated in the last column. - Certificate of language proficiency (please note the information under "Language proficiency").
Please note that you should be in possession of a passport valid for six months beyond your stay abroad by the application deadline!
Please be sure to provide an e-mail address, as further correspondence with you will probably only be conducted by e-mail in the future.
Please do not forget to sign the application forms and CV!
General information
- In addition to the written application documents to be submitted to the International Office, it is necessary to complete an online application. The signed paper printout of the online application must be attached to the documents!
- A single copy of all documents to be submitted – completed on the laptop – is required.
- A maximum of three complete (!) applications (for different partner universities) can be submitted. In this case, the priorities must be clearly indicated in the online application. The online application must only be submitted once. Several applications (sorted by priority) can be submitted. Please attach a signed printout of the online application to each application.
Language proficiency
If a TOEFL (Test of English as a Foreign Language) is required (e.g. for applications for the USA, Canada, possibly Australia/New Zealand), please register for the TOEFL in good time, as the notification of the test result often takes a few weeks and the test result must be available by the application deadline. In this case, the TOEFL result replaces the DAAD language certificate, which then no longer needs to be submitted.
Alternatively, an IELTS test can also be taken. Older TOEFL or IELTS tests are also accepted if they are not older than 2 years at the application deadline.
The Duolingo test can also be taken and submitted if the respective partner university accepts it as an alternative to the TOEFL or IELTS.

You can apply for a maximum of three different partner universities (indicate your priorities in the online application!). If you would like to apply for more than one university, please note that you must submit a separate complete application for each university (copy the online application, CV, and Transcript of Records if necessary).

Some schools at the university also require the "Documents to be submitted" if you wish to apply for a place on the Erasmus program. Please contact your Erasmus departmental coordinator first and also ask whether your school has a different application deadline for Erasmus applications! The school at the university may require further documents in addition to these application documents – e.g. proof of language proficiency ( Issue of DAAD language certificates) or a Letter of Recommendation.

Course list
Please submit an informal list of the courses you would like to take at the host university with your documents. Information on the courses offered by the individual universities can be found on the website of the partner university (check for "Information for foreign/international students", ECTS or similar).

According to ECTS guidelines, approx. 30 ECTS credits per semester or 60 ECTS credits per year must be earned.

If the course offerings for the academic year 2025/26 are not yet available, please refer to this year’s offerings.

An official Learning Agreement must be generated and signed by all parties (student, home university, host university) after the exchange place has been accepted and before the start of the stay abroad!

After the application deadline, students are selected by an internal selection committee based on their academic qualifications and language skills. Further criteria are the study project as well as its preparation and feasibility.
The International Office will inform you of the internal selection committee’s decision and nominate you for a place at the host university if the selection committee’s decision is in your favour. The final decision on acceptance or rejection lies with the host university and is made on the basis of the documents you submit. The host university may request further documents, which you must then submit by the deadline.
Once the documents have been processed, the host university will send you an official letter of admission as well as further information, e.g. on accommodation, travel, etc. Once you have been admitted by the host university, you can apply for a student visa (if required) at the embassy or consulate of the host country.
Application: Erasmus+ exchange place departmental partnership or departmental partnerships
The application and selection procedure for (Erasmus+) departmental cooperation places falls under the responsibility of the respective university schools.
Applications must be submitted to your department at the beginning of each year for the coming academic year. As a rule, the application deadline is based on the application deadline for the partner universities at university level (academic year 2025/26: February 6, 2025), but may differ.
Each school has an Erasmus+ coordinator who processes and receives Erasmus applications and advises students during the process. You can check out the various options and get informed on the application documents, application deadlines, requirements and selection criteria. The schools independently determine the application documents for an application for the (Erasmus+) departmental cooperation places. In principle, an Online application is required for the application. In addition to the mandatory online application, the schools specify further accompanying application documents that must be submitted to the school by the application deadline.
Please enquire with the departmental coordinator well in advance about the respective application deadline and the documents to be submitted.
The following overview of Erasmus coordinators at the respective schools shows which coordinator is responsible for you.

After receiving and reviewing your documents, the departmental coordinator will nominate you for a place at the host university if your application is accepted. The final decision to accept or reject your application lies with the host university and will be made on the basis of the documents you submit. The host university may request further documents, which you must then submit by the deadline.
The departmental coordinator forwards the online application to the International Office, which is responsible for approving and administering the Erasmus mobility grants.

Applying as a "free mover"
If you wish to apply individually to a foreign university without participating in an exchange program, you must request the necessary information and documents directly from the chosen university. If you are not planning to complete a degree abroad, i.e. only want to spend a part of your studies there, you should definitely apply as a "non-degree student". In this case, you may pay lower tuition fees and may be subject to a simplified application procedure.
