OLA – Online Learning Agreement for Studies
The fully digital creation and signing of the Online Learning Agreement (OLA) is supposed to enable a more transparent and efficient preparation of the semester abroad and guarantee the academic recognition of the coursework completed abroad. Both the Erasmus+ program and the General Examination Regulations require the conclusion of an Online Learning Agreement before the start of the mobility.
Relevant advance information
- The Online Learning Agreement is mandatory for all stays abroad from winter semester 2021 onwards.
- The Online Learning Agreement is filled out in the Erasmus+ app or on the OLA homepage.
- The Erasmus+ app can be downloaded from the App Store or Google Play Store.
- The Learning Agreement must be submitted with all signatures as a PDF file to the International Office of Osnabrück University before the start of the mobility. If the course catalog of the host university is not yet available, courses from the previous year should be entered. The Online Learning Agreement can only be submitted after the start of lectures in exceptional cases under certain conditions.
- The courses completed abroad that can be recognized at Osnabrück University must be listed in the Learning Agreement. The courses do not have to be completely identical. For example, several selected courses abroad can be credited as a single course at Osnabrück University or vice versa. Several selected courses abroad can also be credited in the free electives component (if the courses are intended for the subject).
- The respective school guarantees the recognition of the credits earned abroad with the signature. Recognition can only be refused if reasons are stated (reversed burden of proof) and legal remedies are provided.
- The language level (to be achieved) at the host university must be documented. If you do not yet meet the specified language level, you confirm with your signature that you will reach this level before the start of your stay abroad. The language level is determined by a mandatory online language test.
- Any changes to the study plan during the mobility are documented in the Changes to Online Learning Agreement (page 3 of the document) and confirmed once again by all parties.
- At the end of the mobility, the credits earned abroad are recognized upon application to the UOS. The recognition process takes place upon application to the examination office / examination board / the recognition officer or other responsible persons.

Go to the OLA homepage.

Click on the "Log in" button.

Next, select "Log in with your academic credentials (edu-GAIN)" under "My account".

You are redirected to the MyAcademicID page. Enter "Osnabrück University" in the "Login with" field. A button for Osnabrück University will appear, which you must click to be forwarded.

You are redirected to the MyUOS page of Osnabrück University. Log in with your university email address and password as usual.

Once you have successfully logged in, you are automatically redirected to the OLA homepage where you are now logged in.

Enter your personal details under "My account" (name, date of birth, gender, nationality, subject, study phase)

Click on the "create new" button under "My Learning Agreements" to create a new Learning Agreement.

Select "Semester Mobility" as form of mobility.

First, enter your own contact details and study data. If you have not yet entered any information under "Field of Education", enter the subject-specific ISCED code here.

The next step is to enter information at "Sending Institution / Home University". Select "Germany" and afterwards select "Osnabrück University" as your home university. Enter the respective school under "Faculty/Department".

As Sending Responsible Person enter the contact details of the person authorized to sign at your school at Osnabrück University. Enter "Departmental Coordinator" as the position. Please refer to the following List of persons authorized to sign at your school.
Please note that the Learning Agreement will be rejected if the correct person authorized to sign is not entered as the "Sending Responsible Person" by mistake. -
Please enter for Sending Administrative Contact Person Ms. Laura Rohe, position "International Office". The email address is: laura.rohe@uos.de. This information is mandatory!

You are now asked for the same details for the "Receiving Institution / Host University". Select the university at which you are completing your stay abroad and the corresponding school at which you will be studying. Under Receiving Administrative Contact Person, enter the contact person for Erasmus+ at the International Office of the host university.

In order to complete the Receiving Responsible Person section correctly, ask your host university’s school for the persons authorized to sign and your contact details.

Complete Table A and Table B under "Proposed Mobility Program". Enter the courses you would like to take abroad in Table A. It is possible to enter a link to the course catalog of your host university. A total of 24-30 ECTS must be completed per semester. You must also enter the "Component Code" here. If the latter does not exist, you can simply insert "-".

In Table B, please enter the courses/modules from your degree program at Osnabrück University that you would like to have recognized at UOS for your coursework at the host university. Besides, you must enter the "Component Code". If the latter does not exist, you can simply insert "-". Discuss the recognition of the selected courses with the responsible person at the UOS school in advance. If courses cannot be recognized, an annex to the Learning Agreement should be created and the waiver of recognition explained. A link to the course catalog of Osnabrück University can also be included.

In addition, information on the planned duration of the mobility and the language level to be achieved in the main language of instruction is requested in the "Proposed Mobility Program" section. Enter the first day of the month in which your mobility begins. For the end date, select the last day of the month in which your mobility ends.

Table C can be added under "Virtual Components" if additional virtual components such as online courses, intercultural training, workshops etc. are taken before, during or after the stay abroad. The entry is carried out in the same way as for Table A, but each virtual component must also be briefly described.

Finally, you sign the the Learning Agreement online and forward it to the authorized signatory at the respective UOS school.
You can track the current processing status of the Online Learning Agreement at any time on the OLA homepage. -
If the Learning Agreement cannot be signed by the authorized signatory at the home university, e.g. due to missing or incorrect information, the Learning Agreement will be rejected. In that case, you receive an e-mail notification with information on any necessary changes.

You can now update the Learning Agreement via the "Update your Learning Agreement" link in the notification email.

Afterwards, you sign the amended Learning Agreement again online and forward it to the authorized signatory at Osnabrück University.

If this person accepts the amended Learning Agreement, it is forwarded to the authorized signatory at the host university. If the Learning Agreement is rejected by this person, you receive an e-mail notification and follow the instructions from point 23 onwards.
If the Online Learning Agreement is accepted by the authorized signatory at the host university, you can see at the OLA homepage under "My Learning Agreements" that all signatures have been received. The completed Online Learning Agreement can now be saved as a PDF file. -
The Online Learning Agreement must be sent as a PDF file to Ms. Laura Rohe, Erasmus+ Coordinator at the International Office, via laura.rohe@uos.de.
